    Hotel Accommodation

    If your participation includes sponsored accommodation by ICEF, you will be provided with a hotel room for three nights from Monday afternoon, September 23, 2024 until Thursday morning, September 26, 2024 at one of our partner hotels.

    Your presence at ICEF Higher Education will be expected throughout the duration of the event.
    A formal hotel booking confirmation will be sent to you approximately three weeks prior to the event. ICEF will sponsor one room per agency, unless otherwise stated.

    Terms and Conditions

    Event cancellation: If, for some reason you will be unable to attend, please let us know by August 10th or you will be subject to a cancellation fee of 300 EUR.
    Event no-show: If you do not arrive for your reservation or fail to attend without contacting us, you will be charged for your accommodations for the entire period of the event, plus the cancellation fee.
    Additional person(s): If you require an extra person to be accommodated in your room, kindly inform us without delay. An additional charge of 150 EUR per person, per room will apply and must be organised in advance of the event.
    Early Departure: Should you need to leave the event earlier than September 25 at 19:00, please inform us of this well in advance. In accordance with the Agent Terms & Conditions, please note that clients leaving the event early, without prior notification to ICEF will be subject to an Early Departure Fee equivalent to one night’s accommodation at the hotel’s prevailing rate.
    Hotel extra charges: All extra costs (i.e. mini-bar, room service, telephone, early/late check-in/out) will not be sponsored by ICEF and are at your own expense. The hotel will therefore ask you for your credit card details upon check-in.
    Additional nights:
    Booking an additional night is optional and at your own expense. Please write to: Groups@iclondon-theo2.com if you wish to extend your stay at InterContinental London – The O2 at the preferential rates.

    Visa Requirements

    Please know that depending on your nationality you’ll either:

    -have to apply for a Standard Visitor visa before you travel to the UK
    -be able to visit the UK for up to 6 months without needing a visa

    You can check here if you need a visa before you apply.
    If you have to apply for a Standard Visitor visa please go to this website. A Standard Visitor visa costs £115 for up to 6 months. The earliest you can apply is 3 months before you travel.

    If you do not need a visa, you must still meet the Standard Visitor eligibility requirements to visit the UK. You may be asked questions at the UK border about your eligibility and the activities you plan to do.

    Arrival in London
    London Heathrow Airport (LHR)

    London Heathrow Airport (LHR) is is situated approximately 50km from the event venue, which can be reached in 1,5 hour. More information on how to get from and to London Heathrow Airport (LHR) can be found here.

    Taxi
    Taxis are easily available outside each terminal. The taxi fare to central London from Heathrow is around £45–£70 with a journey time of approx one hour.

    UBER
    Depart from Terminal 2, 3, 4 or 5’s short-stay parking lot. The app will tell you where to go once you’ve requested a ride and your driver is confirmed. The cost of an Uber depends on traffic, your destination and other factors.

    Airport Shuttle Bus
    Heathrow Central Bus Station between Terminals 2 and 3 is the quickest departure point for both National Express and Megabus coaches. If you leave Terminal 4, take the free shuttle to the bus station. You can also alight a coach from Terminal 5 (look for arrivals level stops 13, 14 and 15 for Megabus).

    Public transport
    -From Terminals 2 and 3, National Express coaches take anywhere from 55 minutes to one hour and 20 minutes to reach Victoria Coach Station, depending on the time of day you travel. Megabus lists transit times of 45 and 55 minutes for the same journey. For National Express coaches, a single journey starts from 6 pounds ($7.42) per person. For Megabus coaches, a single journey starts from 8 British pounds ($9.89).
    -Heathrow Express – Speed into London Paddington in just 15 minutes with the quick and convenient Heathrow Express. Non-stop trains run every 15 minutes from all terminals to Paddington station, where you can transfer to the London Underground or the Elizabeth Line. Prices start from £15.00 (if booked in advance) and you can buy tickets online or at the airport. Find out more.

    Scheduling meetings prior to the event
    You will receive access to our online meeting scheduling tool (Marcom eSchedule PRO) approx. 5 weeks prior to the event, allowing you to send personalised meeting requests to targeted contacts based on source country or type of programme.
    We recommend scheduling a minimum of 25 meetings prior to the event.

    If you are using Marcom eSchedule PRO for the first time, we recommend to have a look at the Getting Started Information as well as Scheduling Meetings – Useful Hints & Tips or to view our video tutorials.

    Scheduling meetings during the event

    To make the most of your participation, you can still schedule meetings with other participants once the event has started. Last minute meetings can be scheduled up to one hour before the requested meeting time.

    We recommend that you leave Marcom eSchedule PRO open throughout the event to keep an eye on any new meeting invitations that may come through. Please regularly refresh your eSchedule PRO page to make sure that it’s always up to date with the latest requests.

    Please note that you will not be provided with a printed paper copy of your schedule at the event.

    Venue Information

    All days of the ICEF Higher Education 2024 will take place in the InterContinental London – The O2. Located on the Greenwich Peninsula, adjacent to the River Thames, it is a luxurious venue with views of London’s iconic skyline and excellent transport links.

    Seminars

    Opening the first day, the ICEF Monitor Global Summit provides an engaging programme designed to foster discussions around the trends and pressing challenges facing the international higher education sector. In addition, you will benefit from a seminar track dedicated entirely to accommodation.

    All seminars will take place in the InterContinental London – The O2.

    On-site Check-in

    You will be able to collect your badge and welcome bag from the ICEF hospitality desk located in Arora Pre-function Area on the first Floor on Monday, September 23, from 09:00 to 19:00.

    Participants arriving after the above-stated period can register on Tuesday, September 24, from 08:00 onwards in Arora Pre-function Area on the first Floor.

    As this is an invitation-only event, anyone not wearing a badge may not be admitted into the event area. Please also understand that for the same reason, we cannot allow non-registered family, friends or staff to enter the meeting hall.

    T&Cs on parallel events

    To ensure that we are able to provide the best experience for all attendees, we would like to remind you that agents are hosted at ICEF events on the condition that they remain with the event for the duration of the programme (specifically, from day 1 registration to end of meetings on day 3).     Refreshments and Lunches

    Welcome refreshments will take place from 9am – 9.45am in the Arora Pre-function Area on the first Floor.
    A networking lunch will take place from 12:30 – 13:30 in the Arora Ballroom
